The story in three steps
The challenge
Square Four manages a growing property portfolio across the Netherlands. Staff work partly in the office and partly on site. There was no overview of the tasks per building, knowledge was lost when someone left or fell ill, and it wasn't always clear who was picking up what. Updates went by email and often came too late. They wanted a practical tool for every day, not heavy project software.
What we built
One task system for technical management. A task board with open, in progress and done, where you drag a task to the next step. A conversation per task, with a notification as soon as something changes. Every building on a map, grouped by fund, with a timeline per building of everything that happened. Plus a report generator that turns three Yardi exports into one asset report in their own house style.
The result
One fixed place for the whole team. No more information lost in email or Excel, and no more tasks falling through the cracks. Everyone sees who is doing what at which building, on the phone too. New staff can get started right away, because every page has a short explanation.
